1. Purpose
This Media Policy sets out how the Royal United Services Institute of Queensland (RUSIQ) manages photography, video, recordings, and image use in connection with its events, publications, website, and communications.
By attending a RUSIQ event, participants acknowledge that photography, filming, and audio-visual recording may take place.
2. Photography and Filming at Events
RUSIQ may take photographs and video recordings at its events for purposes including, but not limited to:
- event promotion
- website and social media content
- newsletters and publications
- historical record
- reporting on Institute activities
This may include general crowd shots, audience images, speaker images, and event atmosphere photography.
3. Requests Not to Be Photographed or Filmed
RUSIQ understands that some attendees may not wish to appear in photographs or video recordings.
If you do not wish to be photographed or filmed, or if you wish your face to be removed or obscured, you must bring this to the attention of the photographer or a RUSIQ representative at the event.
RUSIQ will record the request and will do its utmost to:
- exclude you from images where reasonably possible
- avoid capturing identifiable images of you
- remove, crop, blur, or otherwise distort your image where reasonably practicable
However, RUSIQ cannot guarantee that every image or recording will be capable of alteration or exclusion, particularly in large group scenes, crowd shots, or live event footage.
4. Requests for Removal After Publication
If you identify yourself in an image or recording published by RUSIQ and wish to request removal after the event, the request must be made in writing to:
Please provide enough detail to identify the relevant image, recording, post, or publication.
RUSIQ will consider such requests in good faith and, where reasonable and practicable, will endeavour to:
- remove the image or recording
- edit or obscure the image
- cease further use of the material
RUSIQ reserves the right to retain archival or internal records where required for legitimate organisational, reporting, or historical purposes.
5. Identification of Individuals
RUSIQ does not generally “tag,” identify, or name individuals appearing in event photographs or video recordings unless:
- the individual is a speaker, official guest, presenter, or office holder
- the individual has otherwise consented to being identified
- the identification is reasonably necessary in the context of reporting the event
Attendees should be aware that third parties may identify themselves or others in comments, reposts, or external platforms not controlled by RUSIQ.
6. Third-Party Photography and Recording
RUSIQ is not responsible for photographs, video, or recordings made by other attendees, third-party media, venue operators, or external organisations unless acting directly on RUSIQ’s behalf.
Where attendees are concerned about being photographed or recorded by others, they should raise the matter at the event with a RUSIQ representative, who may assist where reasonably possible but cannot guarantee control over third-party conduct.
7. Use of Third-Party Images and Media
RUSIQ seeks, wherever possible, to use:
- original media created by RUSIQ or its authorised photographers
- media licensed for reuse, including Creative Commons material
- third-party images with appropriate permission, attribution, or acknowledgement where required
RUSIQ endeavours to give proper credit and attribution where applicable.
If any person believes that an image, recording, or other media item published by RUSIQ:
- has been used without appropriate permission
- lacks adequate attribution
- is incorrectly credited
- otherwise requires correction
they should contact:
RUSIQ will review the matter and, where appropriate, endeavour to rectify it by:
- adding or correcting attribution
- updating the accompanying information
- removing the material
8. Editing and Use of Images
RUSIQ may edit, crop, resize, or format photographs and recordings for publication, accessibility, archival use, or promotional purposes, provided that such editing does not materially misrepresent the event or the context in which the image was taken.
RUSIQ will not knowingly use images in a false, misleading, defamatory, or improper manner.
9. Event Recordings and Archival Use
RUSIQ may retain photographs, recordings, and related media for archival, historical, administrative, promotional, and reporting purposes.
This includes material captured at past events and material used later in publications, presentations, or retrospective communications relating to the Institute’s work and history.
10. Speakers and Official Guests
Speakers, presenters, panellists, and official guests at RUSIQ events may be photographed, filmed, or recorded as part of the normal conduct and reporting of Institute activities, unless otherwise agreed in advance.
Where an event is subject to specific recording restrictions, embargoes, or attribution rules, RUSIQ will endeavour to communicate those conditions clearly.
11. RUSI Rule and Event Attribution
Where applicable, RUSIQ events may be conducted under the RUSI Rule or any other stated event attribution rule.
The existence of event recording, photography, or note-taking does not override those rules. Attendees must continue to respect any stated attribution restrictions applying to remarks, discussion, or responses to questions.
12. Limitation and Practicality
RUSIQ will act reasonably and in good faith to respect privacy, image concerns, and correction requests. However, it cannot guarantee:
- complete exclusion from all photography or video
- complete removal from crowd images or background footage
- control over third-party sharing, reposting, or commentary
- immediate removal of material already circulated through external channels
